What is a Kindergarten Management System ?
A short guide to understanding where digital transformation makes a difference for a modern preschool.
What does kindergarten management software do?
A kindergarten management system is a cloud-based software that runs the daily operations of a preschool or childcare center digitally. With traditional methods, admins keep the attendance book by hand, track tuition collection in Excel, share photos in WhatsApp groups and pass on bus information by phone or SMS. This scattered flow leads to lost time and lost trust — and seriously jeopardizes KVKK compliance.
A professional preschool management software like Mini Kreş brings every one of these tasks together in a single central panel. The admin builds the class-teacher-parent tree, the teacher takes attendance with one tap, marks meal and nap status, and the parent follows their child's day live from their phone. Tuition collection, bus routes, push notifications and reporting all run automatically without any manual intervention.
Which types of institutions is it suitable for?
Mini Kreş is designed especially for private kindergartens, preschools, tutoring centers, childcare centers and daycares in Turkey. It scales from a boutique kindergarten with 30 students to multi-branch chains with 500+ students. Each kindergarten is fully isolated from the others through its own subdomain or panel identity; thanks to multi-tenant isolation, no kindergarten's data is ever visible to another's admin.
How do attendance, meal and nap tracking work?
The teacher opens their class in the morning and selects arrived / absent / excused for each student in the list with a single tap. The system automatically sends an instant push notification to the parents of any child who did not arrive. From the same screen, the teacher marks ate all / ate half / ate little / did not eat for breakfast, lunch and snack. Nap start and end times are recorded; on the home screen, parents can see how long their child slept. Water intake (number of cups), restroom/diaper changes and end-of-day mood are also entered from the daily tracking screen.
Health module and development report card
Height and weight measurements are recorded by date; parents follow the growth curve through the panel. The vaccination schedule is shown according to the age-based table of the Turkish Ministry of Health; completed and upcoming vaccines appear in a color-coded list. A prescription number is mandatory for medication requests — under kindergarten regulations no medication may be administered without a prescription, so this field cannot be left blank. When the teacher administers the medication a log entry is created; the parent receives a "medication given" notification on their phone. The end-of-term development report card rates the child's progress in language, motor, social, cognitive and art areas on a 1-5 scale, with a longer narrative from the teacher.
Parent communication and photo sharing
Our mobile app (iOS App Store + Google Play) gives admins, teachers and parents access to the same panel: parents follow their child's day live, teachers upload attendance and photos, admins open the dashboard from their pocket. Parents can message the teacher one-on-one, receive announcements instantly and see the event calendar. Class-level or kindergarten-wide shared photo galleries are made available with KVKK consent only to registered parents; each parent can toggle their own child's photo permission on or off. Satisfaction surveys are completely anonymous — the admin panel does not show who submitted them.
Tuition and financial management
An automatic accrual is created for tuition collection at the start of each month. The admin records the cash/transfer payment in the panel and the receipt is sent to the parent as an automatic notification. For overdue payments the admin can send a custom reminder. Exporting to Excel for the accountant is one click away. Mini and Pro plans are available for the kindergarten subscription, all of which you can try for free without requiring a credit card.
Bus and security
Bus routes are created by the admin, the students boarding at each stop are defined, and the driver's contact information is shown to parents. Information about who can pick up the child from the kindergarten (mother, father, grandparent etc.) is kept on the authorized pickup list; a 4-digit PIN can be required at handover for verification. All of this sensitive data is transmitted over an SSL-encrypted channel and stored in hashed form on the servers.
Mobile app or PWA?
Mini Kreş has both a native mobile app available from the App Store and Play Store and a PWA (Progressive Web App) version that installs directly from the browser. The native app delivers faster notifications, deep-link support (shared minikres.com links open automatically inside the app) and offline capability. The PWA version, on the other hand, installs in seconds via "Add to Home Screen" with no download step and runs even on the older phones some kindergarten staff carry.
